PART A: Individual Knowledge Activity (Q & A) (should take you 30-45 minutes to complete)

Objective: To provide you with an opportunity to show you have the required knowledge for this unit.

Answer each question in as much detail as possible, considering your organisational requirements for each one.

1. Identify information collection methods that will support review and feedback of presentations

There are some methods to collect information and can support us to a have feedbacks:

- Questionnaires: we can make key questions about our presentation to know what they like, agree or disagree, some suggestion etc.

- Focus Group: Small groups under surveillance for us watch how they will react about some new product or service.

- Family and friends: we can choose them that we feel confident to do the presentation and also they can be honest with us about our performance and we can have a good feedback and improve what is not good.

2. Identify regulatory and organisational obligations and requirements relevant to presentations

Depends where you work you need to follow some rules and standards, for example, if you work in a big company and you will do a power point presentation you need to use their logotype in every slide, use some standard layout, in case of some printed material with letterhead and so on.

3. Describe the principles of effective communication (what are the 6 Ps? Explain each)

The principles of effective communication are:

• Prior: Follow the focus. During the presentation, talking just with one person, a lot of subjects and questions can appear, but we need to know how to come back to the main point. The speaker has the information power.

• Preparation: It is necessary to know your audience. That´s why, to know Who are you talking to. What do you need to say? Select a few key points to follow the main idea. And Where are you presenting? It is good to arrive at the avenue at least an hour early to make yourself comfortable with your surroundings. Check the microphone, lighting, audio-visual and any other factors that may affect your performance, just in case if is go to be a big presentation. If not, check all the material/tools you will need. In this case, your clothes can represent your first image as well.

• Planning: We must know the background of the presentation and make sure we are prepared personally and that we know what to do during the presentation itself.

• Prevents: Be careful with the details, minimize the chance of anything going wrong, or at least you will be able to handle it better if it does if you are prepared. Do not spend time talking about something irrelevant, “bring” the attention to the focus.

• Poor: To make the attractive presentation, we can use tools, internet, and audio-visual. Stay in front of a big or small just talking, nowadays, is not a good idea. We have a plenty of researches to make a good presentation.

• Performance: The opening sentence must have impact. Come out punching with a startling statement, quote or story. Maintain your rapport with the audience; the body language is really important. Encourage audience participation through questions or personal insights is a good way to make yourself understanding.

4. Describe the range of presentation aids and materials available to support presentations.

Presentation aids and materials should be used to support the understanding of the participants. The learning styles of the participants can directly relate to the type of material used, and ideally you should use a combination of materials that can enhance and adapt to each of the learning styles. Some of the material that you can use includes:

• Visual aids such as posters, graphs etc.

• PowerPoint slides

• Flip charts

• Handouts

• Workbooks

• Notes

• DVDs

• Audio material

• Actual samples of the material you are presenting

PART B: Group Performance Activity (Allow 1-2 hours of team work to complete this PLUS up to 10 minutes for the actual presentation)

Objective: To provide you with an opportunity to demonstrate the required performance elements for this unit.

Activity: The participants should put together a 5-10 minute presentation for delivery in small groups of 3-4. Choose a topic you are interested in. For example, A guide to living in Sydney, How to make sushi, How to get cheap tickets to events in Sydney, How to get the most out of the Sunday Funday ticket (i.e. the $2.50 all day travel ticket).

You should show that you can prepare and deliver presentations which demonstrate the use of:

o effective presentation strategies and communication principles

o aids and materials to support the presentation

o Select and implement methods to review the effectiveness of own presentation and document any changes which would improve future presentations.

In particular, you will need to demonstrate:

Oral Communication

● Present information using words and non-verbal features appropriate to the audience and context

● Use listening and questioning techniques to gather information required to develop or modify presentations

● Interpret audience reactions and changes words or non-verbal features accordingly

Interpersonal skills (how you interact with others)

● Select and uses appropriate conventions and protocols to encourage interaction or to present information

● Demonstrate sophisticated control over oral, visual and written formats, drawing on a range of communication practices to achieve goals
